ROLE OVERVIEW and PURPOSE
The Operations Supervisor will ensure efficient systems are in place, staff are properly trained, and effective revenue/cost processes are maximized.This role will implement and evaluate systems within the site to promote quality of care for continual improvement of operations. In addition, the role will direct and motivate stakeholders to take actions to consistently deliver high quality patient care and provide an exceptional patient experience.
RESPONSIBILITIES
  • Schedules, prepares agendas, and facilitates monthly site operations meetings, including minutes and follow up items
  • Collaborates with leadership to review priorities and issues at the site level, such as quality, facilities, productivity, etc.
  • Leads implementation and serves as a resource for organizational policies and procedures at the site, including requirements of funding sources and grant programs
  • Works with manager and support staff to increase patient show rates, improve patient flows, maximize provider productivity, monitor redesign implementations/results, resolve operational issues, and develop improvement strategies
  • Reviews results of audits and monitors specific programs or issues
  • Participates in supervisory, departmental, and special task force meetings, as appropriate
  • Shares pertinent information with direct reports, support staff, providers, and administration as needed to perform essential job functions
  • Tracks all encounters and reconciles with the billing department, including monitoring daily cash receipts and resolving discrepancies
  • Ensures departments provide effective and efficient services to all stakeholders, including patients and providers
  • Provides leadership in professional development of staff, coordinating training in appropriate skills, technology, management, compliance and other relevant areas
  • Works with specialty specific coordinators to implement and monitor the effectiveness of specialty services
  • Functions at highest level according to credentials and competency
  • Impacts patient experience by demonstrating courteous and helpful behavior and a commitment to accuracy
  • Shares accountability for overall patient health outcomes, working in coordination with care teams
  • Operates to instill confidence in our care and in our facilities to patients, fellow employees, and other stakeholders
  • Maintain professional working relationship with all levels of staff, clients and the public
  • Clinical Administration:
  • Ensures compliance of activities with established systems, such as PCMH, Meaningful Use and Pay for Performance
  • Works with leadership to coordinate and implement special events and projects
  • Monitors and works with other departments to ensure goals/objectives are on track to achieve annual goals
  • Provides monthly reports to the Operations Leadership Team in a timely manner
Project Management:
  • Works with leadership in the preparation of the site for monitoring and external/internal audits
  • Provides timely responses to queries from sponsors and/or auditors
  • Develops project plans and defines objectives, scopes, and timelines for assigned projects
  • Tracks progress on productivity and manages changes to ensure schedules are maximized to ensure site productivity goals are met
  • Works with leadership on implementation of processes and strategies that support business plans
SUPERVISION
  • Recommends or makes decision to hire, transfer, promote, discipline or terminate employment
  • Assess training needs and promote developmental activities, including newly developed trainings from other departments for our clinics
  • Conducts department meetings to promote communication, assess and resolve needs and foster teamwork
  • Evaluate staff performance against job description criteria and competency assessment and provides guidance and coaching to develop an individual as well as a unit to highest potential
  • Keep staff informed of organizational activities and promote mission and goals
EDUCATION/EXPERIENCE
  • Bachelor's degree or equivalent combination of education and related experience required; healthcare field/environment experience preferred
  • Supervisory experience preferred
ADDITIONAL QUALIFICATIONS (Knowledge, Skills, and Abilities)
  • Excellent verbal and written communication skills, including superior composition, typing and proofreading skills
  • Ability to interpret a variety of instructions in written, oral, diagram, or schedule form
  • Ability to successfully manage multiple tasks simultaneously
  • Excellent planning and organizational ability
  • Ability to work as part of a team as well as independently
  • Ability to work with highly confidential information in a professional and ethical manner
Physical Requirements
  • Ability to lift/carry 25lbs/weight
  • Ability to stand for long periods of time
Neighborhood Healthcare offers a generous benefit plan that includes:Partially company paid Medical, Dental, and Vision Plans. Pay range: $70,200.00 - $91,100.00 annually, depending on experience (Exempt position)
